Improving Information Storage and access

Julia Kemp and Chad Coombes from Topscan will be available on Stand 12 at the 2009 HEFMA event where delegates will be able to view examples of Topscan’s CAD, Surveying and Digitising Services to NHS Estates & Facilities Departments throughout the UK.

Julia and Chad will be able to provide you with advice and information on how to improve the way you store and view your estates information and the services Topscan can provide to help make the information readily available to all key stakeholders.  
 
Topscan’s services provide Directors of Estates and Facilities with instant access to accurate, up-to-date support information, which can be in the form of CAD building footprints or a building services documentation digital database. This allows for accurate information on the building, its services, usage and functions to be stored in a single location along with the added benefits of having accurate information for space charging, department moves and redevelopment.
 
CAD Services & Building Data Capture: Topscan's CAD Department produce building and site-wide CAD drawings that accurately reflect building layout and usage. Using available CAD drawings we survey all areas to ensure their accuracy and capture building outline changes where they may have occurred. The site survey can also capture spatial data that can be used for ERIC returns, Space Charging, Heated Volume Calculations and Department Information.  Topscan have the added value of being able to create CAD drawings using paper drawings or even from scratch where no drawings are available.  Services information can also be added using existing information or following services surveys, allowing users to build a comprehensive services database.

Property Register Population: Topscan can upload and publish any information collected to your Intranet Property Register (IPR) allowing users to produce accurate real-time reports.  

Document Digitising:  Topscan’s document digitising department provides clients with scanning services for any type of document so that the information can be easily shared and viewed amongst stakeholders. By having documents that would normally be held in archives, store rooms, drawing tanks or shelves digitised and indexed they become free from fire, flood and accidental damage. Digitising documents also has the added benefit of releasing the space created for better use and reducing the amount of time needed to locate and share documents, increasing the efficiency of the office. All documents are scanned into either PDF or TIFF format, intelligently indexed allowing for ease of use and are searchable by keywords. Again, uploading to your IPR can be done to ensure that the information is always available.
